How to Choose a CRM for Financial Advisors: 10 Questions That Matter

Updated 2026-11-07 · AdvisorSupplies editors

Your CRM is the system every other tool plugs into, so it's the hardest one to change later. Here's how to pick one that fits.

Advisor-specific vs. general-purpose CRMs

Advisor-specific CRMs such as Redtail, Wealthbox, Advyzon and Practifi come with household relationships, advisor workflows and integrations with custodians and planning tools.

Platforms you configure, such as Salesforce Financial Services Cloud and Microsoft Dynamics 365, are very flexible but usually need an implementation partner.

General CRMs such as HubSpot and Zoho are strong at marketing and sales pipelines but don't model households or custodial data by default.

10 questions to ask

  • Does it model households, entities and relationships the way we serve clients?
  • Which custodians, planning tools and portfolio systems does it integrate with?
  • Can we build repeatable workflows for onboarding, reviews and RMDs?
  • How does it handle email and calendar sync with Microsoft 365 or Google Workspace?
  • Does it connect to our archiving vendor for compliance?
  • How are permissions handled for advisors, associates and operations staff?
  • What reporting and dashboards come built in?
  • Is there an AI note-taker integration if we want one?
  • What does migration from our current CRM involve, and who does it?
  • What's the total cost per user, including add-ons and implementation?

A simple shortlisting process

Pick three candidates, run the same two or three real workflows in each trial, and involve the person who will use the CRM most (often operations, not the lead advisor). Browse all CRM listings or get a shortlist.
